Boo, first – props for asking! Many business owners and employees are not sure what exactly Payment Disputes (Retrievals/Chargebacks) are or how they come to life and evolve. So let’s get clear about that…
There are two types of Payment Disputes –
Retrievals/Queries
Payment transactions that are being questioned by your customers via their bank – without your control (“behind your back…”).
- Your customers’ payments are NOT debited from your bank account.
- Retrievals/Queries are very likely to evolve into Chargebacks…
- You must act appropriately to prevent potential loss.
Chargebacks
Payment transactions that are being canceled by your customers via their bank – without your control (“behind your back…”).
- Your customers’ payments are debited from your bank account.
- You’ve lost your money…
- You must act appropriately to get it back.
Here’s an example of a Chargeback scenario…
1. Your business charges money from its customer – via a payment card (credit/debit). (You rock, Boo!)
2. Later (up to 2 years later!!) – your customer asks his/her bank to cancel that charge and get his/her money back (for different reasons).
3. The customer’s bank asks your payment-processing bank (“Acquiring Bank”) to reverse that charge and return them the money.
4. Your acquiring bank reverses the charge… Your business got a Chargeback, and your lovely customer got his/her charge – back.
5. Your acquiring bank sends you a “Chargeback Notice” in which you’re being asked to send back docs that would help your bank to fight for your money.
6. You need to respond.
If you respond poorly or miss the deadline – you lose your money for good.

What are Merchant Accounts?
Boo, this is really easy… Here is the most basic information you should know –
Merchant Accounts
Special bank accounts that allow businesses to accept payment cards (credit or debit) from their customers.
Each merchant account represents a specific payment card brand/network, such as –
- Each merchant account can be used only in the specific location (physical or virtual) it was approved for in the processing agreement.
- Merchant accounts can NOT be used in more than one location (physical or virtual) at a given time. For example, if you operate two physical stores – one in LA and one in NY – and you want to accept both Visa AND American Express from your customers in both locations – you must own a total of four merchant accounts. Yes, four merchant accounts for two card brands in two locations.
- Some merchant accounts (such as the ones of American Express) can be transferred between processing companies.
Who provides Merchant Accounts?
Merchant accounts are provided by financial institutions called Acquiring Banks.
Those “special” banks do NOT communicate directly with their customers – the businesses – but use 3rd party companies as their representatives. Those 3rd party companies effectively sell the merchant accounts to businesses, provide them with customer service, technical support and other day-to-day communications.
The Acquiring Banks can function also as “regular” Issuing Banks, but not necessarily. Take a look…
Acquiring Banks provide Merchant Accounts to businesses who need to accept payment cards (credit/debit) from their customers.
Mixed Banks provide Bank Accounts & Merchant Accounts.
Issuing banks provide Bank Accounts to individuals and businesses who need regular bank services, including payment cards.
How do you obtain Merchant Accounts?
Basically, there are two ways for your business to get merchant accounts (MoreChant is for both of them)…
Standard Providers
Companies that get together to provide you with your own merchant accounts.
- Having your own merchant accounts is more complex, but allows you more freedom, reliability and security.
- The Card Payment Networks connect all the banks around the world.
- The Acquiring Banks have membership in the card networks and therefore are able to provide merchant accounts.
- The Credit Card Processors/Merchant Acquirers effectively process payments on behalf of the Acquiring banks.
- The Independent Sales Organizations (ISOs) & Member Service Providers (MSPs) work directly with businesses (i.e., covering the sales, marketing, customer service, technical support, etc.).
Merchant Aggregators
Companies that do NOT provide you with your own merchant accounts but allow you – together with other businesses – to use their merchant accounts.
- Not having your own merchant accounts is more simple, but allows you less freedom, reliability and security.
